Position summary:
The Gift and Records Processor will update a variety of information on the Donor database for alumni, donors, and friends of the University. The Gift and Records Processor will also be responsible for answering the telephone lines and incoming email messages; adding and managing biographical records for friends, donors, and parents; assisting with adding new graduates for each commencement; and assisting with administrative and processing tasks of gifts and pledges.
Note: Mandatory overtime of 10-20 hours per week during period at calendar year-end from
November through January, including the holiday period, as well as fiscal year-end in June.
Characteristic Duties and Responsibilities:
Operational - Biographical 40%
-Create and update biographical data on donors and alumni/ae, from daily mail, e-mail, and phone calls
-Perform special tracing projects to find biographical data when the donor and/or alumnus/a has not provided it
-Assist with the batch upload files which include verifying and correcting the files prior to loading to the central database, such as the New Graduate file available after each commencement (June, August, December) from three different campuses (Ann Arbor, Dearborn and Flint); the Parent file (parents of incoming students); WEB file (alumni updating own biographical information); MAC to DAC file (updates from the Alumni Association); NCOA file (monthly file with change of address information filed with the US Post Office.);
-Consistently meet established productivity goals that are measured and evaluated on an on-going basis.
Operational - Gift 40%
-Process gifts by check and credit card that are under $10,000 in the Development database (DAC) ensuring that they are recorded, receipted and reported to reflect the donors' intentions while conforming to specified legal, IRS, CASE and SPG requirements.
-Process pledges under $5,000 in DAC, which includes reviewing the documentation to ensure that the proper criteria are met according to CASE, GASB and SPG requirements.
-Assist the Securities and Matching Gift Managers with administrative tasks. This includes typing appropriate information on matching gift forms and assisting in completion of the matching gift process; assisting donors and brokers with stock delivery instructions and recording donor and stock information in the pending file.
Administrative and Other Duties as Assigned - 20%
-Collect, sort, and distribute daily mail
-Assist callers with requests for help and/or information
-Answer phone calls on the gift helpline while providing excellent customer service, and collaborate with the Special Handling staff to determine the proper course of action.
-Perform other duties as assigned.
Based on candidate's experience and qualifications, the estimated salary range for this position is $27,000 to $29,000.

-Strong customer service orientation and ability to perform the characteristic duties and responsibilities of the position to effectively meet the needs of donors and the University of Michigan community. .
-Knowledge of/or ability to learn best practices in development, fundraising and community service as recommended by related umbrella organizations such as CASE.
Education and Required Qualifications:
-Bachelor's degree or equivalent combination of education and experience is necessary.
-Reasonable secretarial or related experience is necessary.
-Ability to keyboard with speed and accuracy is necessary.
-Considerable knowledge of and ability to use advanced business software and computer applications is necessary.
-Ability to utilize a variety of sophisticated information storage and retrieval systems is necessary.
-Must be courteous with callers
-Experience in data entry with minimal error rate.
-Attention to detail and accuracy are critical characteristics.
-Ability to type 40-60 wpm with accuracy.
-Ability to work in a fast paced environment
-Ability to set priorities, handle multiple tasks, and meet deadlines
-Ability to work well with co-workers in a team oriented environment
-Must be committed to maintaining a professional and positive workplace demeanor.
-Excellent oral and written communication skills.
-Extremely reliable attendance.
-Ability to maintain confidentiality regarding donor records.
-Volunteer experience in a non-profit setting preferred.
-Must be able to work overtime hours as needed.
-Past customer service experience
-Experience with Microsoft Office software.
