Position Description
This is a full time position. Under the direction of the Marketing Director, the Marketing and Production Associate will have responsibility for and manage the marketing, production, project management and administrative activities of Marketing and Annual Giving in the Office of University Development. The Marketing and Production Associate will act as project manager and producer for direct mail, publications, videos, e-mails and other marketing collateral that attains, retains, and stewards donors and constituents of all sizes.
Characteristic Duties and Responsibilities
Responsible for the comprehensive development and production of marketing projects via management of strategies, timelines, processes, relationships and budgets to deliver 100% on time, accurate projects in multiple media channels (90%):
Production and Project Management responsibility by project for:
*Budget and Financials: Defines original budget scope and spend recommendations. Responsible for project element adherence, financial reporting, reconciliation and negotiation of any type of make good. Uses judgment to manage overall project budget and alter line item costs and spend within that budget.
*Project Timeline: Conducts original feasibility assessment and makes decision regarding the ability to take on the work, resources required and overall due date. Responsible for project initiation, assignment of key deliverables, and autonomous revisions based on delivery status of project elements. Must be able to create unique and improvisational solutions and use sound business judgment to manage and alter timelines and budget efficiencies across multiple clients and in different types of media including direct mail, phone, email, web, digital and collateral.
*Vendor Sourcing and Billing: Including development of potential new vendors, research and sourcing of vendor by project, engagement, review and selection of vendor. Management of deliverables both product and service by vendor.
*Calendaring: Using best in class expertise for planning, scheduling and moving or manipulating projects given internal partner workload and other environmental factors
*Approval and General Quality Control: Including the identification of "approvers" and exercising judgment regarding inclusion of requested changes and feedback. Often required to assess and judge different levels of requests and must develop plan to satisfy all parties while not jeopardizing timeline, budget or marketing objectives. Responsible for the actual quality of the produced pieces including market performance and the activities necessary to achieve the U-M standard, including but not limited to vendor instructions, creative team recommendations and data changes.
Information Excellence and Data Quality responsibility by project for:
*Data Stewardship: By project, sole responsibility for creating and validating complex data requests ranging up to 160+ segments and over 200,000 records. This includes the responsibility for managing constituent relationships and solicitation tracks amongst many channels and across any testing environments.
*Data Quality Assurance: Sole responsibility for Data Quality Control and data decisions on projects including validation of data internally, at the vendor and during the production process. This includes creating and judging what-if scenarios and their outcomes.
Responsible for Marketing and Promotional Services:
*Marketing Metrics: Exercises judgment throughout process to develop, define and deliver against project metrics
*Marketing Quality: Responsibility to assess and evaluate project deliverables on marketing quality and substance, making changes and edits as necessary internally and instructing external vendors.
*Market Testing: Develops and tracks market tests for different projects and project segments to test for different things. This includes making decisions to limit or enhance the test elements.
Other marketing and production responsibilities (10%):
*Meet other departmental administrative support needs including calendaring, meeting preparation, report support, expense reporting, and small project in-house production.
*Proactively maintain knowledge of current trends in arena of production, marketing, and annual giving
*Participate in ongoing stewardship of donor inquiries and concerns using a donor centric approach
*Perform other duties and projects as assigned.
Required Qualifications
*Bachelor's degree or equivalent education and experience
*Curiosity and self-driven
*Excellent written, verbal communication and interpersonal skills
*Excellent attention to detail and proof reading skills; spelling, grammar and punctuation
*Ability to set priorities, handle multiple assignments and deadlines, and display excellent judgment, while operating in a flexible and professional manner
*Demonstrated ability to handle confidential materials and situations with sensitivity and discretion
*Experience and skill with Word, Excel, Power Point, Adobe In-Design
*Initiative and creativity
*Ability to work proactively
*Ability to work both independently and as part of a team
*A great can-do attitude
Preferred Qualifications
*Three to five years of office experience, preferably in a production or production dependent environment
*Experience with print and video work in marketing or similar field
*Knowledge of print and video production process including postal regulations
