Position Description

The Office of Medical Development and Alumni Relations is currently seeking an Executive Assistant to provide advanced, diversified, and confidential administrative support to the Associate Vice President for Medical Development and Alumni Relations. The individual will have significant interaction with UM and Health System leaders, high-profile individuals, Fortune 500 leaders and owners, major benefactors to the University of Michigan and distinguished friends of the University of Michigan. The Executive Assistant must be highly competent, motivated and profoundly dedicated to advancing philanthropy at the University of Michigan Health System in a fast-paced team-oriented environment.

Characteristic Duties and Responsibilities

*Maintain complex calendar for AVP for Medical Development and Alumni Relations using discretion and prioritizing the schedule accordingly.
*Possess excellent technical, written, oral and interpersonal skills.
*Screen, prioritize and route all written and electronic correspondence, phone calls, and outside requests as representative of the AVP for Medical Development and Alumni Relations; direct matters to appropriate individuals for action or follow-up.
*Prepare high-level internal and external correspondence.
*Coordinate travel arrangements, including scheduling airline and hotel reservations, and registration for meetings/conferences, and dining reservations for donor engagements.
*Prepare travel and hosting expense reports while ensuring compliance with University and Health System regulations.
*Conduct research and prepare briefings as needed on behalf of the AVP for Medical Development and Alumni Relations.
*Provide highly responsible staff support to Medical Development committees as assigned.
*Provide management or facilitation of specific development related projects and initiatives for the AVP for Medical Development and Alumni Relations both within the Medical Development community and across the University.
*Identify any issues that need to be handled in the AVP for Medical Development and Alumni Relations office environment and coordinate their solution.
*Function as the representative of the AVP for Medical Development and Alumni Relations.
*Utilize assistance of one or more administrative assistants on a project basis.
*Possible functional supervision of subordinate staff, and the ability to prioritize and manage workflow.
*Other duties as assigned.

Required Qualifications

*Progressively responsible secretarial and administrative experience.
*Proficient in computer software programs and systems including, but not limited to, Microsoft Word, Excel, Power Point, Outlook as well as development reporting systems and University financial systems.
*High level of comfort when dealing with high net worth individuals, and an ability to maintain discretion, and a high level of confidentiality when dealing with benefactors.
*Exceptional interpersonal skills, both written and oral, as well as a high level of sophistication and maturity in social and professional settings.
*Must be a self-motivated, highly dependable independent worker with the ability to efficiently and effectively prioritize work and problem solve without direct supervision.
*Excellent organizational skills.
*Demonstrated ability to develop good working relationships with internal and external constituency groups and to work collaboratively with colleagues in a team environment.
*Demonstrate existing comprehensive knowledge of the University of Michigan and the UM Health System organizational structure, culture, operations and procedures, or the ability to quickly learn this information.
*Ability to manage multiple projects and priorities and meet challenging and changing deadlines.
*Strong commitment to philanthropy at the UM Health System.
*Ability to work effectively with frequent interruptions.
*Superb attention to detail.
*Positive attitude.
*Ability to work flexible hours with occasional weekend and evening work as necessary.

Preferred Qualifications

*8 -10 years of progressively responsible secretarial and administrative experience.
*Bachelor's degree or equivalent
*Interest in working in a philanthropic environment.

Additional Information

*A writing sample will be required during final round interviews.
