Position Description
The Office of Medical Development and Alumni Relations is seeking an Administrative Assistant Intermediate to function as the receptionist for the department as well as provide general office support for the Medical Development and Alumni Relations staff.
Characteristic Duties and Responsibilities
-Act as primary receptionist for the Office of Medical Development and Alumni Relations.
-Provide general receptionist and office support; manage and organize office systems and workflow.
-Screen all phone calls and visitors. Tactfully handle inquiries as requested or forward to appropriate staff member for resolution.
-Enthusiasm and flexibility in supporting the goals of the Office of Medical Development and Alumni Relations.
-Work within department to improve level of service and office efficiency.
-Assist in resolution of departmental operational challenges.
-Assist with calendar maintenance of internal conference rooms.
-Maintain multiple staff directories and e-mail groups.
-Facilitate new Medical Development employee on-boarding process.
-Responsible for routine employee communications utilizing appropriate e-mail groups.
-Responsible for reporting facility and maintenance problems to appropriate individuals for resolution; communicate issues and estimated time of resolution to internal staff.
-Manage courier services on behalf of Medical Development office, arrange for special deliveries, sign for deliveries and direct to appropriate unit.
-Responsible for maintaining UPS packaging and kitchen supplies.
-Facilitate in the flow of gift agreement routing for leadership signatures to ensure timely documentation in the development data system.
-Responsible for annual renewal of UM Business Parking Passes; monitor staff use of passes.
-Complete other projects and duties as assigned.
-Serve as general purpose liaison with the Office of University Development, University of Michigan Health System leadership, and the University of Michigan in general.
-Participate in appropriate team and staff meetings; coordinate monthly meetings of the Medical Development administrative staff.
-Staff Medical Development committees as assigned.
-Perform general human resources duties as assigned.
-Other duties as assigned.
Required Qualifications
-A high school diploma. Three to five years of highly responsible secretarial/administrative experience, including at least one year in a fundraising setting, is preferred.
-Professional demeanor.
-Superb telephone skills.
-Discretion and an ability to comfortably interact with high-level donors and the ability to maintain a high level of confidentiality.
-Knowledge of and commitment to higher education and philanthropy.
-Experience and comfort with software programs including Word, Excel, PowerPoint and database management.
-Proven ability to manage several tasks concurrently, meeting deadlines while continually setting priorities on emerging requirements and changing timelines.
-Willingness and ability to complete self-generated and designated clerical tasks.
-Excellent interpersonal and communication skills (both oral and written), sound organizational abilities, and a high degree of creative initiative.
-Demonstrated commitment to high quality customer service and high levels of productivity.
-Ability to work collaboratively with colleagues in a team environment.
Preferred Qualifications
-An Associate's degree in a related field.
-Close familiarity with and commitment to higher education fundraising is preferred.
-Knowledge of University systems and resources (familiarity with DAC preferred)
-Knowledge of University and Development and Alumni Association policies, procedures, and programs.
