Position Description

The Production Coordinator will act as project manager and producer for publications and other media that support the fundraising activities of the Office of University Development at the University of Michigan.

Characteristic Duties and Responsibilities

75% - Provide assistance and project management to coordinate and expedite the production of Marketing and Annual Giving projects conducted via mail, phone, e-communications, video and any other media. This includes:
*Coordinating all necessary internal and external constituents to ensure timely and accurate completion of projects.
*Establishing, monitoring and documenting production processes and timelines, ensuring efficiency and accuracy of project production.
*Maintaining and updating internal Project Management system.
*Running weekly Project Management team meetings to discuss status of projects.
*Providing consultation on potential bottlenecks in timelines, enhancement for segmentation and content of projects, cost efficiencies and overall campaign planning.
*Quality control of creative, copy, data and reports associated with direct marketing projects.
*Overseeing and/or implementing data requests, working closely with data team to define, segment and ensure accuracy of mail and email data.
*Working with outside vendors on project fulfillment, i.e. text production, graphic design, video production, printing and data processing.

10% - Provide assistance in tracking projects. This includes:
*Calendaring, documenting, recording and maintaining records of all projects.
*Submitting PO request/invoices to Budget and Administration Office.
*Submitting re-charges (as appropriate) to campus unit and Budget/Administration Office.
*Create, verify and track solicitation codes.

5% - Proactively maintain knowledge of current trends in the arena of production. This includes:
*Participating in peer networking opportunities
*Participating in professional education opportunities

5% - Participate in the ongoing stewardship of donors utilizing a donor centric approach. This includes:
*Responding to donor inquiries and concerns as appropriate.
*Route donor inquiries and concerns as appropriate.
*Considering and applying methods for donor acknowledgement and education.

5% - Additional Duties include:
*Assisting with training and orientation of new staff members
*Completing other projects and duties as assigned

Required Qualifications

*Bachelor's degree or equivalent education and experience.
*Three to five years of office experience, preferably in a production environment.
*Excellent written, verbal, communication, problem-solving and interpersonal skills.
*Experience with Word, Excel and Power Point; knowledge or expertise with Access, Filemaker or similar database systems, including experience and aptitude with relational databases; Knowledge of the print production process and postal regulations.
*Project management skills, including organizing tasks and materials.
*Discretion when dealing with highly sensitive information and a focus on customer service.
*Ability to work both independently and as a team member.
*Ability to set priorities, handle multiple assignments and deadlines, and display excellent judgment, while operating in a flexible and professional manner.
*Excellent attention to detail and proof reading skills; spelling, grammar, and punctuation.

*Knowledge of University Purchasing procedures and budgeting systems.
*A great can-do attitude.
*Passion for the University of Michigan and higher education.
*Specialized applications: DAC, EIS.
